What You Will Do – Essential Duties and Responsibilities:
Employee relieves supervisor of non-route administrative tasks. This involves handling confidential information and requires organizational and administrative skills. The employee will help and provide support to the Professional Development Training Team, Career Pathway and Leadership programming. The employee will help the agency achieve CFSR Standards and help ensure services delivery that focuses on safety, permanency and well-being for families being served by the agency.
- Performs administrative tasks, such as research information and responds to inquiries and informational request regarding PDD training, career pathways and leadership programming.
- Efficient in verbal and written communication.
- Prepares graphs, charts and narrative information for reports, presentations and meetings utilizing computer software such as Microsoft office.
- Performs general clerical tasks, such as screening and directing telephone calls, opens, sorts, and distributes mail, maintains files or logs; operates copier and fax machine.
- Takes and transcribes minutes from meetings and distributes; may act as liaison for supervisor; provides secretarial support to department. Assist with first year and annual training requirements as needed by contacting staff and providing registration support in Learning management system.
- Maintains inventory of supplies for organization and follows reordering process procedures to ensure necessary materials are up to date to for New Employee Orientation, Career Pathways and Leadership programing.
- Investigating problems and providing solutions for equipment problems, including, but not limited to, LCD projectors, all peripheral laptop equipment, (i.e. flash drives); provides technical assistance to equipment users and sets up equipment for users in training rooms and meeting rooms throughout the agency.
- Provides clerical support to the New Employee Orientation program, County trainings and add-on trainings for the CORTC by preparing handouts and sign in sheets, registrations, equipment needs, and room arrangements.
- Performs other related duties as assigned.

What you bring to the role:
- Ability to calculate fractions, decimals, and percentages and to read & write common vocabulary plus 10 mos. exp. as Typist 2, 8mos. exp. as Technical Typist or Stenographer 2
- Or 4 mos. exp. as Secretary 1 (or 1 yr. exp. performing like duties)
- Or diploma in secretarial technology or associate degree in secretarial science. For positions requiring manual dictation – 72 weeks high school training or 4 courses at college level in shorthand and/or speedwriting (or 2 yrs. exp.); or equivalent.
What we hope you bring to the role:
- High school graduate plus minimum of 3 yrs. clerical exp.
- Typing speed of 50wpm
- Business school/college may be substituted for 1 year of required experience; knowledge of Microsoft Word, Outlook, Excel, Internet, PowerPoint, SharePoint and Learning Management systems
- Operation of computer hardware and peripheral equipment; excellent oral and written communication skills, typing speed of 50 wpm.
